Responsibilities:

Accounting Operations:

  • Provide supervision and support for period closings while monitoring the daily performance of accounts receivable and accounts payable. Oversee daily transactions involving accounts payable/receivable, general ledger, cash payments, and bank reconciliations.
  • Prepare daily cash reports and forecast estimates for current and future cash balance to ensure proper liquidity for the company's needs.
  • Manage relationships with key vendors and suppliers, negotiating favorable terms and agreements where applicable. Monitor vendor performance and address any issues or concerns promptly.
  • Provide guidance, training, and mentorship to accounting staff to enhance their skills and knowledge.
  • Foster a culture of continuous learning and professional growth within the accounting team.
  • Identify and track opportunities to streamline accounting processes, enhance efficiency, and improve accuracy. Lead initiatives to implement process improvements, automation, and best practices aligned with the company's targets.
  • Coordinate external audits and examinations, including financial statement audits, tax audits, and regulatory compliance audits. Serve as a liaison with auditors and ensure timely and accurate responses to audit inquiries.

Payroll:

  • Manage and process bi-weekly US payrolls, both salaried and hourly, using Paycor software. Supervise third-party processor for Canadian payroll. Conduct thorough auditing and reconciliation for remote salaried employees.
  • Update, file, and record payments for Canadian benefits for payroll purposes.
  • Assist with benefits reconciliation for both US and Canadian employees. Work with Human Resources to process timely changes and communicate upcoming changes and discrepancies as needed.
  • Maintain accurate payroll records, including employee information, earnings, deductions, and tax filings, ensuring compliance with record retention requirements, and delivering reports as requested.
  • Implement and maintain systems for accurately tracking employee hours worked, including reviewing, approving timecards, and addressing discrepancies.
  • Ensure compliance with federal, multi-state, multi-province, and local payroll tax regulations, including withholding requirements, wage garnishment oversight (processed by payroll software provider), and reporting obligations through payroll software.
  • Conduct periodic audits and reviews of payroll records and processes to identify discrepancies, errors, or areas for improvement, implementing corrective actions as necessary.
  • Reconcile payrolls and records for accounting purposes.
  • Address employee inquiries related to payroll, including pay discrepancies, deductions, and tax withholdings, providing timely and accurate resolutions.

Supervisory responsibilities:

  • Provide direct supervision and guidance to accounting staff, ensuring their adherence to established policies, procedures, and deadlines. Monitor team performance and productivity, addressing any issues or concerns promptly.
  • Allocate resources effectively to ensure timely completion of tasks and projects. Delegate responsibilities appropriately based on staff skills, workload, and priorities.
  • Conduct regular performance evaluations for accounting team members, providing constructive feedback and coaching to support their professional development and growth.
  • Foster a collaborative and inclusive team environment, promoting open communication, knowledge sharing, and teamwork among accounting staff.
  • Supervise hourly payroll processing and be trained and provide back up for hourly processing.

Requirements:

  • BA/BS in Finance, Economics, Accounting or Business Administration.
  • 5+ years’ experience in corporate accounting.
  • Prior payroll processing in an hourly and salaried environment is preferred.
  • Paycor or similar software experience highly desired.
  • Experience in a manufacturing environment.
  • Effective problem-solving skills to identify and correct financial discrepancies.
  • Technical accounting skills.
  • Strong analytical skills.
  • Proficient in Microsoft Office Suite.
  • Must be a team player and excellent communicator.
